Introduction

We at Expertbells (“Expertbells,” “we,” “us,” or “our”) care about how your personal data is handled. This Privacy Policy explains what we collect when you use our websites, applications, and related services (the “Service”), how we use and share it, and the choices available to you.

Where we provide the Service to an organisation, that organisation may determine how personal data about its members is handled. In those cases we process the data on the organisation’s instructions, and its own privacy policy governs. This Policy does not apply to the practices of mentors or of third parties we do not control.

1. Personal data we collect

A. Personal data you provide to us directly. We collect the following when you give it to us:

  • Account information. Your name, email address, phone number, password, and profile details such as role, company, expertise, and photo.
  • Booking information. The mentor you book, the session time, and the brief, questions, or documents you share to prepare for a session.
  • Payment information. Billing name, address, and tax details. Card and UPI details are collected and stored by our payment processors, not by us.
  • Communications. Messages you exchange with mentors or with our support team, and the contents of forms you submit.
  • Feedback. Ratings, reviews, survey responses, and any suggestions you send us.

B. Personal data we receive from your use of the Service. We collect the following automatically:

  • Device information. Device type, operating system, browser, and unique identifiers.
  • Usage information. Pages viewed, features used, searches run, and actions taken, together with timestamps.
  • Log information. IP address, referring pages, and diagnostic data such as crash reports.
  • Cookies and similar technologies. Identifiers used to keep you signed in, remember preferences, and measure how the Service is used.
  • Approximate location. A general location derived from your IP address, used for security, tax, and currency purposes.

C. Information we do not collect. We do not knowingly collect personal data from anyone under 18. We do not collect or store full payment card numbers. We do not record sessions, and recording by participants requires the consent of everyone present.

2. How we use personal data

We use personal data to:

  • provide, operate, and maintain the Service;
  • create and administer your account and authenticate your access;
  • schedule, deliver, and support sessions, including sharing the details a mentor needs to prepare;
  • process payments, issue GST-compliant invoices, and administer wallet credit, coupons, and refunds;
  • match you with mentors and improve the relevance of our recommendations;
  • send transactional messages about bookings, payments, and account activity;
  • detect, investigate, and prevent fraud, abuse, and security incidents; and
  • comply with legal obligations and enforce our Terms of Service.

We may also use aggregated, de-identified data to analyse and improve the Service. Such data cannot reasonably be used to identify you and is not treated as personal data.

3. How we share personal data

We share personal data in the following circumstances:

  • With mentors. When you book a session, we share the details needed to deliver it, such as your name and the brief you submitted.
  • With service providers. Payment processors, calendar and video conferencing providers, hosting, analytics, and customer support tools that process data on our behalf.
  • With your organisation. Where your access is provided or paid for by an employer or team.
  • For legal reasons. Where we believe disclosure is required by law, regulation, or valid legal process.
  • To protect rights and safety. Where necessary to investigate fraud or abuse, or to protect users, the public, or Expertbells.
  • In a corporate transaction. In connection with a merger, acquisition, financing, or sale of assets.
  • With your direction. Where you ask us to share, or otherwise consent.

We do not sell personal data.

4. Retention

We keep personal data for as long as your account is active and for as long afterwards as needed to provide the Service, resolve disputes, meet tax and accounting obligations, and enforce our agreements. Transaction and invoice records are retained for the period required under applicable tax law. Where data is no longer needed, we delete it or de-identify it.

5. Security

We use administrative, technical, and physical safeguards designed to protect personal data, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your credentials confidential and tell us promptly if you suspect unauthorised access.

6. Your rights and choices

Depending on where you live, you may have some or all of the following rights:

  • access the personal data we hold about you;
  • correct data that is inaccurate or incomplete;
  • request deletion of your data;
  • obtain a copy of your data in a portable, machine-readable format;
  • object to or restrict certain processing;
  • withdraw consent where processing relies on consent;
  • opt out of marketing communications at any time;
  • nominate another person to exercise your rights on your behalf;
  • manage cookies through your browser settings or our cookie controls; and
  • lodge a complaint with a supervisory authority.

To exercise any of these rights, contact us using the details in section 9. We may need to verify your identity before acting, and some rights are subject to legal limits.

7. Jurisdiction-specific disclosures

India. We process personal data in accordance with the Digital Personal Data Protection Act, 2023. You may contact our grievance officer using the details in section 9, and you may raise concerns with the Data Protection Board of India.

European Economic Area and United Kingdom. Where the GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract, to deliver the Service you request; legitimate interests, to secure and improve the Service; consent, where we ask for it; and legal obligation, where processing is required by law. Transfers out of the EEA or UK are made under appropriate safeguards, such as standard contractual clauses.

Other jurisdictions. Where local law grants additional rights, we honour them to the extent they apply to you.

8. Privacy policy changes

We may update this Policy from time to time. Where changes are material, we will provide notice through the Service or by email before they take effect, and we will update the date at the top of this page. Your continued use of the Service after the effective date constitutes acceptance of the updated Policy.
